Ouest PM Solutions is committed to protecting the privacy of the personal information it collects and receives.  This Privacy Policy seeks to explain how Ouest PM Solutions collects, uses, discloses and otherwise handles personal information.  It also seeks to explain how you can ask to access and correct the personal information held about you or complain about any suspected privacy breach.

What is personal information?

Personal data are the data that you can make available to us when you visit ghanaweb.com. On some sections we can ask for address, e mail address and telephone numbers. In addition, when visiting www.ouestpms.com, other data are also automatically available, such as your IP address, information about the internet site from which you have opened our website or about the internet browser you use (technical information).

What sort of personal information we collect and hold

When dealing with us, we usually need to know your personal information to provide specific products and services to you.  Therefore, it is not practical to remain anonymous or to use a pseudonym.  The type of personal information that Ouest PM Solutions collects and holds about you depends on the type of dealings that you have with us.

  • If you are an employee, we collect information including your name, address, emergency contact phone number, memberships, Work, Health & Safety records, and other Human Resource information required by an employer
  • If you are a member representative, we collect information including your name, your title, company, address, contact phone number, mobile and fax number, primary and secondary address (where available), and email address
  • If you are listed as a newsletter recipient in our system, we collect your name, company and email address for electronic copy distribution
  • When you send an email to Ouest PM Solutions (info@ouestpms.com) or a Ouest PM Solutions employee, the content and your details, including your email address, become part of our records.  Your email address will not be added to any mailing list unless requested by you
  • When you visit our website, a record of your visit is logged for statistical purposes. Only minimal information is stored, e.g. IP address, ISP, date and time of visit, pages accessed and documents downloaded. The information gathered is not used for any other purpose than to improve our website by gauging what pages and documents are most popular

How does Ouest PM Solutions collect and hold personal information?

Ouest PM Solutions is required by the Privacy Act to collect personal information only by lawful and fair means.  If it is reasonable and practicable, we will collect personal information we require directly from you. We collect personal information in a number of ways, including:

  • By email
  • Over the telephone
  • Through written correspondence, such as letters and faxes
  • On hard copy forms, including event registration forms and surveys
  • In person. For example, a visit to our center At workshops, seminars and other functions attended by us. For example, if you give us your business card

At times, we may collect personal information from a third party such as a recruitment agency, consultancy or contract company. This information is treated the same as all the other personal information Ouest PM Solutions collects as outlined in this Policy.

Why does Ouest PM Solutions collect, hold and use personal information?

Ouest PM Solutions needs personal information to perform its core functions. The information is used for business purposes to:

  • Provide collaborative research services
  • Respond to requests or enquiries regarding our work
  • Maintain contact with members and others
  • Share information, emerging technological advances, project updates and developments
  • Notifications and invitation to events
  • Distribution of our quarterly newsletter and media releases
  • Engage with service providers, contractors or suppliers relating to our business operations
  • Conduct surveys
  • Recruitment
  • For any other business related purposes

If we do not have access to your personal information we may not be able to provide you with information on our project work including progress and other important information.

Disclosure of your personal information to third parties may include other researchers/contractors carrying out project work on our behalf in fulfilling our contractual arrangements with you. We do not however, disclose personal information to third parties for the purpose of allowing them to send marketing material to you.

How is personal information stored by Ouest PM Solutions?

Electronic information held by Ouest PM Solutions is securely stored on a server at The University of Queensland.  The files on the server are password protected and only certain people are authorised to access the information. Hard copy files containing personal information are also securely stored at the Ouest PM Solutions office.

We do use a third party to store some member information on a server in Australia but the information is minimal and comprises of the member name, email address, and company name.

How can I access and correct my personal information held by Ouest PM Solutions?

You information is available to you upon request subject to some limited exceptions permitted or required by law. We will require proof of identity and request that you clearly specify the information you wish to access.

Ouest PM Solution’s employees wanting to access their employment information need to contact the Human Resource Officer in the first instance.

If you believe any personal information held by us is inaccurate, not up-to-date, incomplete, and irrelevant or misleading, you can forward a request in writing to the Human Resource Officer.  We will take reasonable steps to correct the information in accordance with the requirements of the Privacy Act.

Does Ouest PM Solutions disclose personal information overseas?

From time to time, it may be necessary for Ouest PM Solutions to disclose personal information overseas.  This could occur in the course of a research project with an overseas entity or by publishing information.  If we intend to transfer personal information overseas, we will inform you and seek consent to the transfer, or request the overseas entity that your personal information be protected to the same level as required of Ouest PM Solutions by the Privacy Act.
